Product · Spreadsheet Review

Excel, under control — every cell, every change, every signature.

Regulated companies run on spreadsheets that were never designed for regulated work. OneXPro Controlled Spreadsheet Review keeps the familiar grid and adds what an inspector expects: access control, review and approval, electronic signatures and a tamper-evident audit trail.

How it works

From uncontrolled file to approved record in five steps.

01

Upload

An .xlsx workbook is uploaded and its original is frozen with its SHA-256 fingerprint. Macro-enabled files are refused.

02

Design permissions

Decide who may view, edit, comment, review, approve, sign or export — for the whole workbook, a worksheet, a row range, a column, a cell or a range of cells.

03

Publish

Make the controlled version live with a reason and a change-control or SOP reference. Every permission change is shown in plain sentences before it goes live.

04

Review & sign

Reviewers and approvers work record by record, with due-dated tasks. Anything not right is sent back to its editor to correct.

05

Final approval

Once every record is signed off, the workbook receives its final approval — and only then can a read-only copy be downloaded.

Capabilities

Built for the spreadsheets QA actually uses.

Cell-level permission designer

Paint permissions onto the worksheet itself. Allow and deny by person, group or department, see the effective permissions as any person would, and keep sensitive columns out of sight.

See as a person

Before anything goes live, check exactly what a given reviewer will see and be able to do — straight from the permission engine, not a guess.

Record-level e-signatures

Review, approve and sign row by row — individually or in bulk — with the password re-entered and the signature's meaning recorded every time.

Send back & respond

Sending a record back is part of the review step. It becomes the editor's response task, and the correction is reviewed again — all on the trail.

Controlled templates

Design standard workbooks once — columns, formulas, permission sets and roles — and have them approved as numbered templates (TPL-001…). New workbooks start from an approved template.

Versions & comparison

Upload new versions with a validation report, compare template versions, and keep every published version of the rules for later review.

Hash-chained audit trail

Every edit, comment, permission change and signature is appended to a chain of hashes, so any alteration is detectable. The audit report re-verifies the chain when exported.

Controlled downloads

Downloads open only after final approval, as a protected, read-only copy whose own SHA-256 is written to the audit trail.

Tasks, dashboard & reports

Due-dated review tasks, overdue tracking, a compliance dashboard across workbooks, and audit reports in plain language — no JSON, no internal keys.

Why it matters

Spreadsheets are a frequent data-integrity finding.

Shared drives, workbook passwords and “track changes” are not access control or an audit trail. Regulators expect GxP spreadsheets to meet the same expectations as any other computerised system.

  • Each person signs in with their own credentials — no shared workbook passwords
  • The original file is preserved and fingerprinted; it can always be compared
  • Who changed which cell, from what to what, when and why
  • Template-protected values and key columns cannot be overwritten
  • Copying values out requires the export right and a final approval

Typical uses

  • Batch and production calculation sheets
  • QC result logs and trend workbooks
  • Equipment, calibration and maintenance schedules
  • Stability study data
  • Training matrices and qualification trackers
  • Supplier and material registers

Send us one of your GxP spreadsheets.

We'll show it controlled, reviewed and signed in OneXPro.
